Booking Conditions

TOUR PRICE

The prices shown on our website or in our other published literature are “Land Prices” and are based on double room occupancy.  Single supplements are charged to cover our additional costs for single occupancy of double rooms.  The price of your trip is fully guaranteed and will not be subject to any surcharges.

PAYMENT

If you book online

If you book online the full travel sum stated on our website is payable immediately.  The tour price includes a deposit equal to EUROS 250 which is non-refundable unless one of the special conditions outlined in our Booking Conditions (this document) applies.

If you book by telephone or if you use our booking form

To guarantee your reservation, a deposit of EUROS 250 per person is required at the time of booking. The travel sum must be in the possession of GARDENTOURS.COM no later than six weeks before the day of departure. In the event of overdue payment, the travel agreement can be terminated by or on behalf of the GARDENTOURS.COM with immediate effect after summons and after the expiry of the term set in the summons. The cancellation conditions will then continue to apply.

If the travel agreement is concluded within 6 weeks before the day of departure, the entire travel sum must be paid immediately upon receipt of the invoice.

BOOKING CONFIRMATION

Once you have made your booking and we have received initial or full payment we will send you confirmation by email that we have received and accepted your booking.  This confirmation from us means that you have entered into a legal contract with GardenTours.Com BV and that your deposit is non-refundable unless one of the special conditions outlined in our Booking Conditions (this document) applies.

GROUP SIZE

For trips in 2018 and 2019 a participation of 15 people applies, unless specifically stated otherwise.  Some tours may operate with fewer participants.   In the unlikely event that a trip cannot take place due to insufficient participation, you will receive notice of this, no later than 28 days before departure.

SPECIAL REQUESTS & PREFERENCES

Special wishes, or preferences, that are specified when booking are communicated to the respective accommodation provider and / or transport company. This could be, for example, a diet or special wishes regarding accommodation.  Preferences cannot be guaranteed by GARDENTOURS.COM.

INCLUSIONS AND EXCLUSIONS

What is included and excluded in the price of each tour published on our website is made explicit in the description of each tour that we make available to you.

In general, our stated tour prices include superior 4* accommodations; meals as listed; wine with dinners as specified; full-time services of a driver and professional tour manager; 15-seat motor coach, depending on group size; entrances as listed; transfers and additional transportation as specified; all porterage, tips to local guides, taxes and service charges.

Our tours do not include airfare (except where specified), excess baggage charges, items of personal nature such as laundry, telephone calls or room service, meals not listed in itinerary, or tips to tour manager and driver(s).

PASSPORTS & VISAS

Most countries we visit require travelers to have a passport which is valid for 6 months after the date of the trip.  It’s also your responsibility to make sure that you possess a valid visa to enter the countries that we visit during one of tours.

INSURANCE

We will ask you to provide us with a copy of your travel insurance policy before you join one of our tours.  Your travel insurance will give you peace of mind and should cover the costs of medical treatment, repatriation, loss of property and cancellation charges.

Please do not rely on any free insurance offered by your credit card company. We do not offer travel insurance services but you might like to visit the following websites to find a travel insurance which most suits your needs.

ELIGIBILITY AND HEALTH

GardenTours.com reserves the right to decline to accept or retain any person as a member of the tour at any time, should such person’s mental condition, physical infirmity, or general deportment impede the operation of the tour or the rights, welfare, or enjoyment of other tour members. Such passengers will have no claim against GardenTours.com its agents, operators or employees.

By signing your booking form or completing an online booking, you are stating that you have met these requirements

CANCELLATIONS & REFUNDS

If you decide to cancel your holiday

If you decide to cancel your holiday with us then you need to provide us with written notice of cancellation.  The date of cancellation will be taken as the date which we receive said written notification of cancellation from you.  The following refunds will apply following cancellation.

  • Cancellations received by us more than 90 days prior to departure:

If you decide to cancel your holiday more than 90 days prior to departure you will receive a full refund minus EUROS 250 per person administrative charge.

  • Cancellations received by us 60-90 days prior to departure:

If you decide to cancel your holiday 60-90 days prior to departure you will incur a cancellation fee of 50% of the total tour price.

  • Cancellations received by us less than 60 days prior to departure:

If you decide to cancel your holiday less than 60 days before departure a cancellation fee of 100% of the total tour price will apply.

  • Cancellations once a tour has commenced:

Once a tour has commenced there will be no refunds on unused portions.

If we need to cancel your holiday

GardenTours.com reserves the right to cancel one of its tours at its discretion.  It is very unlikely that this will ever occur.  Nevertheless, any monies already paid by participants (including deposits) will be reimbursed to the traveler without delay.  However, the traveler will not be entitled to any compensation.

AIR TRANSPORTATION & AIRPORT TRANSFERS

Our tours exclude air transportation.  We advise you to book your air travel once you have received confirmation from us that your chosen tour will depart.

CHANGES TO YOUR HOLIDAY

If we change your holiday

We reserve the right to change or modify the accommodation, crossing or tour program before or during the trip if unforeseen events occur.

If you change your holiday

If one or more of the registered travelers is prevented from participating in the trip, this/these traveler (s) can be replaced at the request of the said traveler by another person or by other persons. The request of the place-of-residence must be submitted no later than 7 days before departure, or in time so that the necessary actions and formalities can still be carried out. This rule does not apply to any air travel that is booked directly with us.

If you have booked a double or twin room with another person and one of you decides to cancel their trip, the remaining traveler will be liable to pay the single supplement as advertised on our website.

TOUR FULFILLMENT

Unless specified otherwise, all tours advertised and booked on via the GardenTours.com website are fulfilled by Garden Tours BV, a Dutch company based in the Netherlands.  Details of which can be found here (in Dutch).  www.gardentours.nl

COMPLAINTS

In the unlikely event that you have a complaint, you must immediately inform the GardenTours.com tour guide, so he/she can take remedial action.  If your complaint is not resolved to your satisfaction or cannot be solved directly, then please submit your complaint to GardenTours.com in writing no later than 14 days after your return.

YOUR FINANCIAL PROTECTION

Stichting Calamiteitenfonds Reizen:

Garden Tours BV is a member of the Stichting Calamiteitenfonds Reizen. Within the boundaries of the Calamity Fund’s guarantee scheme, journeys issued by Garden Tours BV are covered by the Calamity Fund’s guarantee. This guarantee means that you as a consumer who participates in a trip organized by Garden Tours BV: (a part of) your travel sum will be refunded if Garden Tours BV cannot or not fully carry out the trip as a result of a calamity; the necessary additional costs will be reimbursed if Garden Tours BV has to adjust the trip as a result of a calamity or if Garden Tours BV has to repatriate you early.  A calamity means an abnormal event caused by a molestation or natural disaster. Stichting Garantiefonds Reisgelden:

Garden Tours BV is affiliated with the Stichting Garantiefonds Reisgelden under number 2284.  Within the limits of the SGR guarantee scheme, the trips published by GARDENTOURS.COM fall under the guarantee of SGR. The SGR guarantee means that the consumer is insured if the other party cannot meet the agreed consideration due to financial inability. This includes repatriation. Related website: www.sgr.nl .

Disclaimer

Obvious errors and mistakes, printing errors do not bind us. Any adjustments and correct prices of the trips concerned are printed separately in a so-called erratum. Always ask before booking if there is such an erratum on the selected trip. No rights can be derived or claimed in any way from the contents of the GARDENTOURS.COM website, brochures, flyers, advertisements and other GARDENTOURS.COM publications.  Although the greatest possible care is exercised in the composition of the contents of our publications, there is the possibility that certain information (after some time) is outdated or not (no longer) correct.
